FAQ: How to find which patients haven't visited for a while?

Postby Daniel » February 3rd, 2010, 4:45 pm

Quite a common question is "How can I get a list of patients who haven't been to the clinic for the last X months?".

As an example, here's how to get a list of patients who haven't been to the clinic in the past 6 months :-

[1] Go to Reports and Templates. Under Patients you should see the "Inactive Patient Report". Double click this report to run it.

(NOTE: If you don't see this report, then you probably need to update ClinicOffice, or alternatively you download the report from here and by following the instructions in this post : viewtopic.php?f=19&t=249)

[2] In the "Search Criteria" box, locate the "Last Appointment" field. To find patients who have not been in for at least 6 months, simply select "On or Before" and select a date which was six months ago. This will ask ClinicOffice to show you patients whose 'last appointment' was more than 6 months ago.

[3] Click OK to run the report.

If you have any questions please don't hesitate to post a reply.

As a potential new customer I wish to know whether you can then easily merge the found records into a recall letter or email.

Thanks for your post. In actual fact there is now a full blown RECALL SYSTEM integrated into ClinicOffice which allows you to specify if/when you want to see patients again. You can easily create letters, send emails or even sms messages to remind patients about due appointments.

Specifically to answer your question, yes it's very easy to create a letter based on the results of the above report.

Hope this helps!
